Step 1: Define the Job Before the Machine

  • Trench depth and width
  • Gate width, door height, and elevator weight limits
  • Soil type: clay, sand, rock, compacted gravel

Step 2: Choose Buy vs Rent vs Lease

For short projects, renting usually wins. For year-round work, buying may make sense. Step 3: Match Attachments and Wear Parts Early

This is the step most buyers skip. Everything I had read about mini excavators said focus on horsepower and dig depth. In practice, the bucket teeth, adapters, cutting edges, and coupler compatibility drove our downtime.

If you run a Kubota excavator or any compact mini excavator, confirm the bucket pin-on or coupler type before you order. A 2-ton machine from one brand may use different pin sizes than another. Check bridge limits, trailer capacity, and offload space. If the machine is delivered on a flatbed, who unloads it? Does the driver have ramps? Is your yard clear?

Checkpoint: Measure the narrowest access point on site. Then compare it to the machine width plus 6 inches. If you are within 6 inches, assume it will be tight.

Step 5: Vet the Mini Digger Supplier

In my first year, I made the classic supplier error: I assumed every dealer could provide a proper invoice. Cost me a $2,400 reimbursement fight with finance. Now I verify invoicing before any order.

Ask for:

  • Business license and tax ID
  • Warranty terms in writing
  • Parts availability and lead times
  • Service network or mobile technician coverage
  • References from companies your size

Digital efficiency matters here. A supplier with an online portal for specs, invoices, and parts diagrams usually saves time. That said, a small local dealer with a paper catalog can still be the better call for urgent service. I get why people go with the cheapest option, but the hidden costs add up.

Checkpoint: Send a test email with two technical questions. If they cannot answer within one business day, note that response time. It may preview their delivery and parts support.

Step 6: Compare Total Cost of Ownership

Purchase price is maybe 60 to 70 percent of the first-year cost. Include:

  • Delivery and offloading
  • Attachments: buckets, teeth, adapters, cutting edges, backhoe attachments
  • First service and fluids
  • Insurance and fuel
  • Resale or trade-in

The numbers said go with the cheaper mini digger supplier. My gut said stick with the one who answered parts questions in hours. We went with the gut. Later I learned the cheaper supplier had a 9-week lead time on bucket teeth. That would have stopped the job. The cheaper 2 ton excavator price was not cheaper after all.

Checkpoint: Build a 3-year cost table. Include one unplanned downtime week. If the numbers still favor the cheap option, ask why.

Step 7: Inspect or Demo the Machine

For new machines, demo at your site. For used, inspect:

  • Track wear and tension
  • Bucket pin and bushing play
  • Hydraulic leaks
  • Hour meter vs overall condition
  • Cold start behavior

If the machine is remote, ask for a timestamped video walkaround. Not a photo gallery. Video shows leaks, smoke, and hesitation. Photos hide all three.

Checkpoint: Create a one-page inspection sheet. Make the seller sign it. Attach it to the invoice file.

Step 8: Lock Down Paperwork, Warranty, and Delivery

Before deposit, confirm invoice, bill of sale, warranty, manuals, delivery date, and offload responsibility. If the machine is imported, check duties and emissions documents. I am not 100 percent sure on every import rule, so check with your broker.

Granted, this requires more upfront work. But it saves time later. The vendor who cannot provide proper invoicing can cost you more than money. It can cost you credibility with your VP.

Checkpoint: Do not release final payment until you have the invoice, warranty, and manuals in hand.

Step 9: Plan the First 30 Days

It took me 3 years and about 150 orders to understand that the supplier relationship matters more than the lowest unit price. The first 30 days set the tone. Order spare teeth, grease, and filters. Train the operator on the small tracked dump truck separately from the excavator. Log every issue.

Common Mistakes and Notes
